What is it?

How do I start using it?

From the Library Resources page click on the link for RefWorks.
First time users must sign up for an individual account, after that log-in with your chosen Log-in Name and Password.

After logging in you will find yourself here. Use the provided links to begin educating yourself to RefWorks or jump right in and begin importing references.

Importing References

References can be imported into RefWorks from a text file created by saving references from a database.
  1. From the References menu select Import.
  2. Select the Import Filter/Data Source that matches the data you saved.
    1. For example, if you saved references from a search you did on in PubMed, select the NLM PubMed filter.
  3. Select the specific database from which you saved references. For example, if you searched the NLM PubMed than your database would be PubMed.
    1. Some Import Filters have as an option. With this option, it is possible to import data from searches you have performed across multiple databases from the same service.
  4. To have the references imported into a specific folder, select the folder from the Import References Into list. For example, if you want to keep all references together from several imports to edit later, you should create a folder for this purpose.
    1. References are always imported into the Last Imported folder. References from the previous import are removed from the folder automatically. When you have completed an import, you can open this folder to globally edit or add data to the group before organizing them into folders.
  5. Select the text file you created when saving your search results.
    1. To help organize your data, you may want to create a separate folder under your My Documents folder called Download Results. If you always use this folder, it will be easy to find the appropriate file when importing.
    2. If you have a number of references to import, select Import Data from the following Text File and use the Browse button to locate the file.
    3. If you only have one or two references to import, copy the data into the Import Data from the following Text box.
  6. Click the Import button to import the data. Progress is shown by one * for each reference. The program tells you when the import is complete.
    1. To view the import log, select View Log.
      1. The import process creates a log file containing information on the status of the import. The log file shows information like data that was not imported and data that was imported into the notes field. In general, if you used the correct Import Filter, the import brings in all of the information and places it in the appropriate fields for each reference type.
Note: We recommend that you select View Last Imported Folder to review the import and be sure the data is correct.

Converting from Other Bibliographic Management Programs

Here are instructions for getting your data out of other bibliographic management programs and into RefWorks!

EndNote

Note: RefWorks has a feature that will allow you to upload your EndNote versions 8 through 10 library directly into RefWorks. All other versions of EndNote will require you to export the records from EndNote and import them into RefWorks (see instructions below).

EndNote 8, 9 or 10 users only:

  1. Go into RefWorks and from the References menu select Import EndNote V8+ Database.
  2. Browse for and select your EndNote library (.enl). Note: Currently there is a 25 MB import limit on the size your EndNote library.
  3. Specify a folder to import your records into (optional)
  4. Click on Import at the bottom of the Import window. The progress in importing is measured by * for each reference imported. RefWorks will notify you when the import is complete.
  5. Your records should automatically appear in the Last Imported folder.

EndNote 7 or lower:

Note: When importing large amounts of references, it is recommended to import no more than 2500 records (or 3MB of files) at a single time. This will ensure a successful import.

  1. From EndNote, under the Edit menu select Output Styles.
  2. From the list of output styles select RefMan (RIS) Export.
    1. Note: If you do not see this format, open the Style Manager and check the RefMan (RIS) Export format. Close the Style Manager and repeat steps 1 and 2.
  3. Select the references you want to export.
  4. Under the Reference menu select Show Selected (or Show All if you wish to export the entire database).
  5. Under the File menu select Export.
  6. A dialog box appears for you to select the location where you want to save the file. Type a file name and select a location for importing into RefWorks. Select Text as your Save As type and click Save.
  7. Go into RefWorks and from the References menu select Import.
  8. Select Desktop Biblio. Mgt. Software as your Import Filter and EndNote (Ref Man RIS Format) as your Database. Make sure you select the appropriate Mac or Windows version. Browse for and select the file you just created from EndNote.
  9. Click on Import at the bottom of the Import window. The progress in importing is measured by * for each reference imported. RefWorks will notify you when the import is complete. View the Imported References.
  10. Your records should automatically appear in the Last Imported folder.

Reference Manager

Note: When importing large amounts of references, it is recommended to import no more than 2500 records (or 3MB of files) at a single time. This will ensure a successful import.

To Export from Reference Manager

  1. From Reference Manager, select the references you want to export.
  2. Under the References menu select Export.
  3. Either use the default file name or create a new file for exporting references. Select the RIS format and the appropriate References Option.
  4. Click Export.
  5. Go into RefWorks and from the References menu select Import.
  6. Select Desktop Biblio. Mgt. Software as your Import Filter and Reference Manager (RIS Format) as your Database. Browse for and select the file you just created from Reference Manager.
  7. Click on Import at the bottom of the Import window. The progress in importing is measured by * for each reference imported. RefWorks will notify you when the import is complete. View the Imported References.
  8. Your records should automatically appear in the Last Imported folder.

ProCite

To import records into RefWorks from ProCite it is necessary to obtain an output filter from ISI ResearchSoft Technical Support. This filter, RIS.pos, will be used to export your data in the RIS format. After obtaining the filter, place it in ProCite's Styles folder. This folder's default location is C:/Program Files/Procite5/Styles.

Note: When importing large amounts of references, it is recommended to import no more than 2500 records (or 3MB of files) at a single time. This will ensure a successful import.

  1. From within ProCite select Print Bibliography from the File menu
  2. Select the RIS output style (be sure to configure the RIS output to include all desired fields).
  3. Select Save, and Text Only as your file type
  4. Give the file a name and select a location
  5. Go into RefWorks and from the References menu select Import
  6. Select Desktop Biblio. Mgt. Software as your Import Filter
  7. Select ProCite (RIS Format) as your Database
  8. Browse for and select the file you just created from ProCite
  9. Click on Import at the bottom of the Import window. The progress in importing is measured by * for each reference imported. RefWorks will notify you when the import is complete. View the Imported References.
  10. Your records should automatically appear in the Last Imported folder.

Accessing your RefWorks account from off campus

There are two ways to connect to your RefWorks from off campus.

Option #1 (this is the preferred option)

  1. Go to http://www.fhcrc.org/science/shared_resources/library/resources/ and click on the RefWorks link in the Bibliographic Software section.
  2. When prompted, enter your library card ID and password (this lets our proxy server help you ‘appear’ as if you were on campus).
  3. You should then land on the regular RefWorks login page (where you will see the Arnold Library home page in the center). Just login into your RefWorks account using the RefWorks ID and password that you set up for yourself.

Option #2

  1. Go to http://www.refworks.com/refworks.
  2. In the RefWorks User Login section on the left side of the screen, at the bottom of that box select “Not your Organization?” and click on Login using your Group Code.
  3. When prompted on the resulting, new page, in the Remote Access tab, enter our institution’s Group Code. (You’ll need to call 206-667-4314 or email the library to get the Group Code.) Then click the “Go to Login” button.
  4. You should then land on the regular RefWorks login page (where you will see the Arnold Library home page in the center). Just login into your RefWorks account using the RefWorks ID and password that you set up for yourself.
